Pivot Ark (“we”, “us”) operates pivotark.shop and provides AI-powered chat widget software for Shopify fashion retailers (“merchants”). This policy explains how we collect and use data from both merchants and their customers.

1. Information We Collect

From merchants

  • Account info (name, email, Shopify store domain)
  • Billing info (processed by Stripe — we never store card details)
  • Store data (products, orders, customers) via Shopify OAuth with read-only scopes

From merchant store visitors (end customers)

  • Chat conversation content
  • Contact info voluntarily shared in chat (name, email, phone)
  • Sizing preferences and purchase intent expressed in conversation
  • Page context (product being viewed)

2. How We Use Data

  • To power the AI chat widget and provide sizing recommendations
  • To extract anonymized sizing signals and build product intelligence
  • To capture leads on behalf of the merchant
  • To generate analytics and ROI reporting for merchants
  • We do not sell personal data to third parties
  • We do not use end customer data for advertising

3. Data Ownership — Important

Merchant data: Each merchant owns their individual store data — conversations, leads, return events, and customer contact information. Merchants can export their data at any time from the dashboard and request deletion by contacting info-team@pivotark.shop.

Aggregate intelligence: Pivot Ark owns the aggregated, anonymized cross-retailer sizing intelligence network. This includes anonymized sizing signals, brand fit comparisons, and return pattern data that has been stripped of all personally identifiable information. This aggregate data is Pivot Ark's proprietary asset and powers the intelligence that benefits all merchants on the platform.

No individual customer's data is ever shared with other merchants. Only anonymized aggregate signals contribute to the cross-retailer intelligence network.

4. Data Retention

  • Starter plan: Full conversation transcripts kept 30 days, summary metadata 6 months
  • Preferred plan: Full transcripts 90 days, summary metadata 12 months
  • Preferred + Retention Add-on: Full transcripts 365 days, summary metadata 24 months
  • Lead records, cart events, and return records: retained indefinitely
  • Intelligence aggregates: retained indefinitely (anonymized)

Merchants receive email notice 30 days before compression occurs.

5. Third-Party Services

  • Stripe: payment processing
  • Shopify: store data access via OAuth
  • Anthropic Claude API: AI responses (conversation content sent to Anthropic per their privacy policy)
  • Supabase: database hosting
  • Vercel: application hosting
  • Resend: transactional email
  • Loop Returns: return webhook integration (when enabled)

6. Your Rights (GDPR/CCPA)

End customers of Shopify stores using Pivot Ark may request access to their data or deletion of their data. Contact the merchant directly or email info-team@pivotark.shop. We respond to verified requests within 30 days.
